FlowIQ Business Automation

1. Who we are
These terms are between you and FlowIQ Business Automation ("we", "us", "our").

"You" and "your" mean the business subscribing to a service, and anyone using it with that business's authority.
2. What these terms cover
Both of our services:
- FlowIQ Ledger — accounting, invoicing and tax software
- FlowIQ Sales Agent — automated quoting and customer messaging, across whichever
channels you connect it to
Where a clause applies to only one, it says so. By subscribing you agree to these terms, and if you are agreeing for a business you confirm you may do so.
3. Your subscription
Subscriptions run monthly, paid in advance. Your plan and price are shown before you subscribe and on your billing screen.
Your subscription renews automatically each month until cancelled. We collect payment on or about the same day each month using the payment method you gave us.
Prices are shown in the currency stated at checkout. Where tax applies to your purchase, the invoice governs.
4. Cancelling
Cancel at any time from your account settings.
Cancellation takes effect at the end of the month you have already paid for. You keep full access until then — we do not cut you off on the day you cancel, because you have paid for that month.
No cancellation fee, and no minimum term beyond the month in progress.
5. Refunds
Because you keep access for the full period you paid for, we do not refund part-months on cancellation.
We will refund you where:
- We charged you in error, or charged you twice
- We charged you after you cancelled
- A fault on our side left the service substantially unusable for a significant part
of a billing month
Write to support@flowiqagent.com with your business name and the payment date. We aim to reply within 5 business days and, where a refund is due, return it to the original payment method within 10 business days.
Where the law in your country gives you a cancellation or cooling-off right beyond this clause, that right applies and nothing here limits it.
6. Changing plans
Upgrades and downgrades take effect from your next billing month. The new price starts then, and you keep your current plan's features until then.
If you change your card or payment method, the new one is used from the next billing month.
7. Payments and card details
Payments are handled by our payment provider. We never see or store your card number. Your card is held by the provider under their own security standards.
If a payment fails we may retry it. If it stays unpaid we may suspend access until it is settled — see clause 10.
8. Your data
Your data belongs to you. Invoices, customers, products, ledger entries and messages you create remain yours. We process them to run the service, and we do not sell them.
Each customer's data is stored separately from every other customer's.
You can export your data at any time while your subscription is active. After cancellation we keep it for 30 days so you can come back or export it, after which it may be permanently deleted. Tell us before then if you need longer.
Some records may be kept longer where the law requires.
We handle personal information in line with the data-protection law that applies to you. If you need a data-processing agreement, ask.
9. What the services do, and what they do not
We work to keep the services available and correct, but we do not promise uninterrupted access. Maintenance sometimes requires interruption, and we give notice where we reasonably can.
FlowIQ Ledger is accounting software, not an accountant. It calculates tax and produces reports from what you enter. It does not give tax, accounting or legal advice, and it does not file returns with any authority on your behalf. You remain responsible for the accuracy of your records and your filings, and we recommend a qualified accountant or tax practitioner reviews them.
FlowIQ Sales Agent sends automated messages on your behalf. You are responsible for what those messages say, for holding whatever consents are needed to contact those people, and for complying with the rules of any messaging platform or channel you connect it to.
10. Suspension
We may suspend or end access if payment is outstanding, if you use the service unlawfully or to send unlawful or unwanted messages, if you try to reach another customer's data or interfere with the service, or if the law or a platform we rely on requires it.
Where practical we will tell you first and give you a chance to put it right.
11. Acceptable use
Do not use our services to break the law, to message people who have not agreed to hear from you, to misrepresent who you are, or to reach parts of the system you were not given access to.
12. Liability
Nothing here excludes liability that cannot lawfully be excluded, and nothing here limits rights your local consumer law gives you.
Subject to that, our total liability for any claim is limited to the fees you paid us in the twelve months before it arose. We are not liable for indirect or consequential loss, lost profit, or lost data where you had a fair chance to keep your own copy.
13. Changing these terms
We may update these terms. Where a change materially affects you we will give at least 30 days' notice by email or in the product. If you do not accept it, you may cancel under clause 4.
We will not raise your price without at least 30 days' notice, and any increase starts from a following billing month — never the one in progress.
14. Law and disputes
These terms are governed by the law of the Republic of South Africa, and its courts have jurisdiction. This does not remove any protection your own country's law gives you as a consumer.
If something goes wrong, please write to support@flowiqagent.com first. Most problems are settled faster directly than formally.
